Is AI Actually Worth It for a Business Your Size?

Every business owner I talk to right now is getting the same message from every direction: adopt AI or get left behind. Some of that pressure is legitimate. A lot of it is noise from tools trying to sell you something you don’t need yet. Here’s the honest version of the conversation.

The Real Cost Isn’t Always the Subscription

The sticker price on most AI tools looks affordable. What’s less visible is the cost of running it well — the time spent setting it up, training your team, fixing what it gets wrong, and maintaining it as tools change. For a lot of small businesses, that hidden cost is what actually determines the ROI, not the monthly fee.

Three Questions to Ask Before You Adopt Anything

What specific, repeatable task am I trying to remove from someone’s plate, not “AI” in the abstract, but one task? Do I already have a process for that task, or would I be building the process and the tool at the same time? If this tool disappeared in six months, would I actually miss it, or was it a novelty?

Where AI Tends to Actually Pay Off

The clearest wins aren’t flashy: drafting first-pass customer responses, summarizing meeting notes, generating a first draft of content you’ll edit anyway, or handling scheduling and routine follow-up. The pattern: high repetition, low risk if it’s imperfect, and a human still reviews the output.

Where It Usually Isn’t Worth It Yet

Anything client-facing where a mistake damages trust, anything requiring nuanced judgment about a specific person’s situation, and anything you’d need to hire a specialist to properly implement and maintain. If the tool needs more oversight than the task it’s replacing, you haven’t saved time — you’ve added a new job.

Quick Self-Check

  • Can I name the one specific task I want AI to take off someone’s plate?
  • Do I already have a working process for that task today?
  • Would a mistake from this tool be low-stakes and easy to catch?
  • Am I adopting this because it fits a real need, or because everyone else is talking about it?

The Business Doctor’s Prescription

AI adoption isn’t a race. It’s a fit question. The businesses getting real value from it aren’t using the most tools — they’re the ones who found the two or three specific tasks where it actually earns its keep.

If you’re not sure where AI actually fits in your business, let’s figure it out together.
